Collections Specialist

YOUR RESPONSIBILITIES:

As a Collections Specialist, you will:

  • Manage accounts receivable collections and follow up on outstanding invoices.
  • Contact clients regarding past-due balances and payment arrangements through phone, email, and written correspondence.
  • Review aging reports and prioritize collection efforts.
  • Research and resolve billing discrepancies, payment issues, and customer inquiries.
  • Document collection activities and maintain accurate customer and account records.
  • Process and reconcile customer payments and assist with accounts receivable reporting.
  • Collaborate with project managers and department leaders to resolve client concerns and facilitate payment collection.
  • Monitor delinquent accounts and recommend escalation when appropriate.
  • Maintain accurate project records in Deltek Vantagepoint, including project setup, updates, and closeout activities.
  • Assist with employee certification tracking and record maintenance.
  • Support process improvements that enhance collections efficiency and data accuracy.
  • Perform general office and administrative duties as needed.
  • Provide excellent customer service while maintaining professional client relationships.

MINIMUM QUALIFICATIONS:

To excel in this role, candidates must possess the following qualifications and abilities:

  • Associate's degree in accounting, finance, business administration, or a related field preferred; equivalent experience may be considered.
  • 3+ years of experience in collections, accounts receivable, billing, or a related accounting function.
  • Experience working with accounting software and enterprise resource planning (ERP) systems.
  • Strong understanding of accounts receivable processes, collection practices, and payment reconciliation procedures.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Ability to analyze account activity, investigate discrepancies, and resolve issues efficiently.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills with a professional customer-service approach.
  • High level of accuracy, attention to detail, and problem-solving ability.
  • Ability to work independently and collaboratively within a team environment.
  • Knowledge of Deltek Vantagepoint, Deltek Vision, or similar project-based accounting software is preferred.
  • Experience working in the engineering, consulting, construction, or professional services industry is preferred.
